How to manage restaurant booking enquiries on WhatsApp

By Roberto, Visioneering MT · 5 November 2026

The short answer

Ask every guest for the same five details (date, time, number of people, name, and any special requests) before they message you. A website can collect these and open WhatsApp with the message already written. Then reply to every request with a clear “confirmed”, “we can offer another time” or “sorry, we’re full”, because a guest’s message on its own does not reserve a table. If you need live availability, deposits or a shared diary for many staff, use a dedicated booking system instead.

What should a booking enquiry include?

Staff should be able to say yes or no from the first message, without asking anything back. For most restaurants that means:

  • Date, written out (“Friday 20 November”), not “this Friday”.
  • Time, ideally from the times you actually seat tables.
  • Number of people, including children, and whether a high chair is needed.
  • A name for the booking. On WhatsApp you already have the guest’s number.
  • Anything the kitchen or floor should know: allergies, step-free access, an occasion, or a preference for inside or outside.

Keep it to that. Every extra question makes it less likely the guest finishes the message.

What does a complete enquiry look like?

Here is the kind of message staff receive when the details are asked for up front:

From the guestHello, I’d like to request a table. Date: Friday 20 November Time: 20:00 People: 4 Name: Maria Notes: One high chair, please. I understand this is a request until you confirm.

Compare that with “Hi, table for tonight?”, which needs at least two more messages before anyone can check the diary, often in the middle of service.

How can a website help collect the information?

A short form on your website can ask for the five details, check them, and then hand the guest over to WhatsApp with the message written. The guest reads it and presses Send. Nothing is sent without them.

A form can also stop requests you can’t accept. If you’re closed on Mondays, the form can say so before the guest sends anything. If you only seat tables until 21:30, those are the only times it offers.

The same form can send the request to an email inbox instead, for guests who don’t use WhatsApp or for restaurants that prefer email. You can try a working example on our site. It uses a fictional restaurant and sends nothing.

Click-to-chat link, form or automated system: what’s the difference?

These three are often described as the same thing. They aren’t.

A click-to-chat link

WhatsApp’s own click-to-chat links take the form https://wa.me/ followed by your full number in international format, without the plus sign, spaces, brackets or dashes. For a number in Malta that means starting with 356. Adding ?text= and some URL-encoded words puts a message in the guest’s text box. It is still the guest who sends it.

A form that prepares the message

This is the same link, with the text built from the guest’s answers. It costs nothing to run beyond your website, and it uses the WhatsApp number you already answer.

An integrated automated system

Software that replies to guests on WhatsApp by itself uses Meta’s WhatsApp Business Platform, which has its own setup and rules. Meta charges per message for certain messages businesses send on the platform (Meta’s pricing page). An automated reply is only as good as the availability it reads, so it needs to be connected to a real booking diary.

How should staff confirm or decline a request?

Reply to every request, even when the answer is no. Silence leaves the guest assuming they’re booked. Three short replies cover most cases. Keep them somewhere staff can copy from:

ConfirmThank you, Maria. Your table for 4 on Friday 20 November at 20:00 is confirmed, with a high chair. If your plans change, please let us know here.

Offer another timeThank you, Maria. We’re full at 20:00 on Friday, but we can offer 19:00 or 21:30 for 4. Would either work?

DeclineThank you for asking, Maria. We’re fully booked on Friday 20 November. We’d be glad to see you another evening.

Write the booking in your diary before sending the confirmation. That one habit prevents most double bookings.

Why doesn’t sending an enquiry reserve a table?

Because nobody has checked the diary yet. A message on WhatsApp is the same as a voicemail: the guest has asked, and the restaurant hasn’t answered. Say this clearly in three places: next to the form (“this is a request until we confirm”), in the message itself, and in your confirmation reply. It saves awkward conversations at the door.

What are the limits of managing requests by hand?

  • Someone has to watch the phone, including during service, when it is hardest.
  • Guests can’t see availability, so some requests will need a counter-offer.
  • If the diary isn’t updated straight away, two people can confirm the same table.
  • There are no automatic reminders unless someone sends them.
  • If several staff share one phone, it needs a simple rule about who replies.

For many independent restaurants these limits are manageable. For busy ones, they are the reason to choose a booking system.

When is a dedicated booking system the better option?

Consider a reservation platform if you:

  • want guests to see live availability and book instantly;
  • handle so many covers that requests pile up during service;
  • take deposits or card guarantees against no-shows;
  • have several people taking bookings across shifts who need one shared diary;
  • want automatic reminders and waiting lists.

Your website can still link to the platform. The menu, opening hours and directions on your own site remain useful either way.

Where Visioneering MT fits

We build restaurant websites in Malta and Gozo with a readable menu, opening hours, directions, tap-to-call and WhatsApp buttons, and a booking request form that prepares the WhatsApp message (or sends an email). Staff still confirm every table. We don’t provide live availability, deposits, or an assistant that replies for you, and we’ll tell you if a booking platform would serve you better.
